Staff Accountant, Property Management Office Long Beach, California Century Housing Corporation is a mission-driven Community Development Financial Institution (CDFI) supporting quality affordable home development throughout California. Position Summary: Under the direction of the Director, Property Management, the Staff Accountant is responsible for monthly rent and utility collections including monitoring of payment plans and payment ledges, preparation of reports for and collection of outstanding and delinquent receivables. May assist residents in review of service bills, positing of balance due and credit notices and responding to follow up inquiries. The Accountant prepares deposits and records deposits in Bostonpost (MRI) or other management/accounting software as required. Knowledge of Smart Client, invoicing software a plus, but not required. Responsible for inputting and maintaining vendor invoices and files associated with contracts, certificates of insurance and similar documentation. In addition to accounting technical requirements, this position requires an incumbent willing to deliver excellent services while interacting with other office staff and clients with patience, tact, and professionalism with an overall commitment to teamwork. Essential Duties and Responsibilities as described below are not intended to be all inclusive. Essential Duties and Responsibilities: Rents Collection Activities Prepare monthly rent/utility collection report, Monitor payment plans and pledges, prepare monthly tracking reports of pledges and payments. Prepare reports of NSF items, collection and delinquency items. Conduct collection activities. Input of Payables: Input coding of invoices into Smart Client invoice software and monitor Billings and Collections: Generate billing notices for maintenance charges, monitor payments and generate delinquency notices as required. Apartment Turns: Process move ins/ move-outs, preparing final costs letters, locate and send to past residents. Conduct follow up to collect delinquent accounts. Audit monthly utility statements, review service contracts, disconnections and/or transfers of services. Assist clients in reviewing of service charges as requested. Posting 3-day notices to pay rent or move out and respond to tenant questions. Processing Rent and Utility Receipts Prepare receipts for deposit in night drop or property office safe as necessary. Notify other PM staff of receipt of past due amounts, record payments in Bostonpost or MAS500 as applicable. Create deposit slips, scan deposits and reports and transfer to deposit. Process and post notices of utility bills and delinquent or shut off notices. Update action lists using Tuesdays Property Management meeting notes coordinate with Property Office Assistant(s) and Assistant Property Manager(s). Files and Records Maintain creditable files and records including commercial leases with services providers, contractors, and certificates of insurance. Maintain petty cash, preparing reconciliations as directed by Assistant Controller or the Chief Financial Officer Other Duties as Assigned May serve as back up in front office, attend meetings, and perform various clerical support duties as directed by the Property Manager. Adhere to all Century policies and procedures. Required Knowledge, Skills and Abilities: 1. Ability to multitask with minimum direction, maintaining, respectful demeanor in challenging situations 2. Able to develop and maintain a constructive, cooperative working relationship with others. 3. Able to maintain positive flow of relevant communication, protect sensitive information. 4. Must have sound problem solving ability; ability to recognize a pending problem and recommend a course of action. 5. Knowledge of basic budgeting, vendor relationships, contract and payment practices. 6. Ability to interact with residents, office staff, visitors, vendors from diverse socio-economic backgrounds. 7. Skilled in filing, data input, report writing, auditing techniques. 8. Basic skills in Word, Excel, Outlook, proficient in Boston Post or similar property management software. 9. Ability to keep established hours of operation, ability to work overtime on short notice, and maintain excellent work attendance. Must be flexible to meet the needs of a professional office. Education and Experience: This position requires a minimum of an Associate Degree or two-four years of general accounting experience in a property management environment. A degree in Finance/Accounting and Spanish bilingual ability may contribute to success in this position.
